Sales Operations Specialist

We are seeking a detail-oriented and customer-focused Sales Operations Specialist to manage end-to-end outbound shipments and support the sales team with operational needs. Reporting to the Operations Manager, this role plays a key part in our supply chain—where revenue is recognized—by ensuring accurate order processing, maintaining strong relationships with third-party logistics partners, and upholding inventory integrity.

Key Responsibilities

Sales Order Processing

• Generate sales invoices and allocate inventory to orders in assigned territories

• Manage pro forma invoicing: issue payment links, apply payments and deposits, and follow up on unpaid orders

• Support sales team with order updates, special circumstances, and miscellaneous operational needs

• Champion special projects as assigned

Outbound Logistics

• Dispatch orders via API to our 3PL warehouse and send daily LTL batches to shipping partners

• Serve as the liaison between Armadillo and the 3PL warehouse

• Coordinate special logistics projects, deliveries, and supply orders (e.g., branded materials, pallets)

• Manage domestic and international outbound shipments, including export documentation

• Schedule customer pickups and arrange white glove or workroom delivery services when applicable

• Ensure compliance with partner-specific shipping requirements and packaging standards

• Initiating and completing special projects with 3PL, as applicable

• Supporting the warehouse with purchase of miscellaneous supplies such as branded materials or custom size pallets

• Arrange white glove deliveries when applicable.

• Managing international outbound shipments and creating export documents

• Scheduling customer pick-ups at 3PL warehouse, for allocated territory

• 3PL Special Projects related to inventory control

• Creating inventory adjustments & transfers to ensure stock accuracy.

Processing

• Manage and process all returned items and/or claims

• Communicate all updates on claims to sales managers and clients clearly and concisely

• Physically inspect items before returning to stock

• Process reverse logistics on claims and adjust inventory as needed
